Running a Tuition Centre on Spreadsheets and WhatsApp

Singapore's tuition industry is massive, but behind the scenes, most centres are running on manual processes that break as they scale.

Class schedules in spreadsheets. Attendance on paper. Parent updates via WhatsApp groups. Staff coordination through a mix of emails, messages, and phone calls. It works with a handful of students, but as centres grow, things fall apart fast.

The challenge was clear: build a centralised platform that brings all operations into one place, without overcomplicating things. Tuition centre staff are educators, not software engineers. Whatever we built had to be intuitive enough that anyone could pick it up in minutes.

Mapped the Daily Workflow

Sat down with centre operators to map out their day-to-day: scheduling, attendance, parent comms, and where the bottlenecks were.

Identified the Gap

Off-the-shelf solutions were either too generic (built for gyms) or too bloated (enterprise school systems). The gap: a purpose-built tool for Singapore tuition centres.

Parent Portal

Dedicated interface for parents to view schedules, receive updates, and communicate with the centre. Structured info replaces WhatsApp noise.

Attendance Tracking

Digital attendance that replaces paper registers. Quick check-in, absence tracking, and automatic parent notifications.
